Managed IT for accounting practices

IT Support for Accounting Practices Across Melbourne and the Peninsula

An accounting practice carries other people's money, identity documents and tax affairs. That raises the stakes on everything technology touches, from who can open a client file to whether last night's backup actually ran.

Most practices we speak with do not want more IT support. They want somebody to take responsibility for it.

Want the number first? Our pricing is published: AgileCORE from $85 and AgileCOMPLETE from $130 per user per month ex GST, plus the AgileSECURE add-on at $44, which we strongly recommend for a practice holding client financial data. How we work to your year, not ours

Tax time is not the week to discover something has been failing quietly

An accounting practice does not have an even workload, so neither should the work underneath it. Nothing about a bad July is fixed in July. It is decided in the quiet months, by whether anybody dealt with the things that only bite under load.

AUG–OCT

Clear the debt from last season

The machines that struggled, the licences bought in a hurry, the shared logins created at midnight. We list what happened and fix the causes while there is room to.

NOV–FEB

Replace hardware on a plan, not on failure

Devices get replaced because they are due, not because one died on a lodgement day. Budgeted, scheduled, and done when losing a machine for an afternoon costs nothing.

MAR–MAY

Prove the things you are relying on

Restore from a backup rather than assuming one. Check the fallback connection actually carries the practice. Review who has access before the temporary staff arrive.

JUN–JUL

Stay out of your way

No projects, no changes, no upgrades. Monitoring, fast response and a named person who already knows how your practice is put together.

What is actually at risk

Your obligations do not pause because a system did

The confidentiality duties in the Tax Practitioners Board Code of Professional Conduct have no technology exemption, and the Privacy Act applies to the personal information your practice holds whether or not anyone has thought about where it lives.

The dutyWhere practices come unstuck
Keep client information confidential Tax file numbers and identity documents spread across a mailbox, a personal drive and a shared folder nobody has reviewed since 2019.
Control who can reach it Offboarding. A staff member leaves and the access quietly remains, because removing it was nobody's job.
Still have it tomorrow A backup nobody has restored from. That is a theory, not a recovery plan, and July is a poor time to test it.

Where a specific obligation applies to your practice, we will say so plainly rather than selling around it. Our compliance obligations page sets out what applies to Victorian businesses, and AgileSECURE is aligned to the SMB1001 maturity framework.

Where most practices actually are

You do not have a technology problem, you have a management problem

Below about five people, technology just needs to work. Somewhere between five and fifteen it stops being about the equipment: staff work differently, files end up in three places, and software vendors ring whoever answered last time.

At that point a practice usually concludes it needs better IT support. Nearly always, what it needs is somebody managing technology. By fifteen to thirty staff the question changes again, and it becomes whether you need an IT department rather than an IT company.

That is the work we do. Your business IT, our responsibility is not a tagline we bolted on.

Scope

What we take responsibility for

Agreed in writing on day one in a Responsibility and Accountability Matrix, so what we own and what stays with the practice is settled before it matters.

  • Microsoft 365 licensing, mailboxes and document structure
  • Devices standardised, monitored and replaced on a plan
  • Multi-factor authentication and controlled access
  • Endpoint protection and monitoring, aligned to SMB1001
  • Backups tested by restoring, with the result written down
  • The software vendors, so your practice manager is not the integration layer

Where we work

Based in Mornington, working across the southern corridor

Agile IT Solutions has been based in Mornington since 2007. A good share of the accounting practices we look after sit in Frankston and the southern corridor, close enough that onsite is practical when it is needed. Most issues are resolved remotely, and onsite support across our service area is included with AgileCOMPLETE.

If you would rather see how we work before talking about your own practice, our case studies set out what we actually did and what changed.

Questions

IT questions from accounting practices

Do you understand the software an accounting practice runs on?

Yes. We do not write your practice management or ledger software, and we are not pretending to be your software consultant. What we take responsibility for is everything underneath it: the devices, the Microsoft 365 tenancy, access control, connectivity, backup and the vendor relationships, so the software you rely on has a stable platform to run on and somebody to call when it does not.

We already have an IT company. Why would we change?

Usually because nobody is managing the environment, only responding to it. The test we suggest is simple: ask your current provider when a restore was last tested, who has administrator access, and what is scheduled for replacement next quarter. If those answers are not readily available, the issue is ownership rather than effort.

How secure does a small accounting practice actually need to be?

Secure enough that a client's tax file number, bank details and identity documents are only reachable by people who need them, and that you could say so with confidence if asked. In practice that means multi-factor authentication, controlled access, managed devices, tested backups and monitoring. AgileSECURE delivers that aligned to the SMB1001 maturity framework, and it is the add-on we recommend for any practice holding client financial data.

What happens at tax time if something breaks?

The aim is that less breaks, because device failures, licence renewals and capacity problems were dealt with in the quiet months rather than during the season. When something does go wrong, AgileMANAGED includes monitoring and a defined response, and AgileCOMPLETE adds onsite support across our service area.

Are we too small for this?

We work best with businesses of roughly 5 to 50 staff, and smaller teams that are growing into that range. If your practice is three people and everything is working, you probably do not need us yet, and we will say so. The point at which this becomes worthwhile is usually when technology decisions start waiting because nobody owns them.

How do we get started?

A discovery conversation. We look at what your practice runs on today, how it is managed, and where the gaps are, then set out what a structured managed service would look like. No obligation and no quote pushed at you in the first meeting.

Your practice should not have to think about technology every day.

Start with a conversation. We will look at how your practice actually runs, tell you plainly what we would change, and give you the number before you have to ask for it.
