Write down everything, including the things that are not anyone's job

Office IT gets managed because it is visible and people complain about it. The rest of an industrial site runs on equipment that is invisible until it fails, and then it is urgent and nobody knows who installed it. This is the list we work through, and it is rarely shorter than the owner expects.

The part that catches people out

Cameras, recorders, access control, environmental sensors and plant monitoring all arrive through specialist contractors who do excellent work in their own field and have no reason to think about your network. The common result is a device with a default password, reachable from the internet, sitting on the same network as your accounts system.

Fixing it is not dramatic. The equipment goes onto its own segment, remote access becomes something granted rather than something permanent, default credentials are changed, and the list of which contractor can reach what becomes a document you can actually produce. The contractors keep doing their job, and their equipment stops being a way into yours.

Where we work

Based in Mornington, working the industrial side of the Peninsula

Agile IT Solutions has been based in Mornington since 2007, which puts the working end of the Peninsula on our doorstep.

Several of the operations we look after sit in and around the Hastings industrial precinct, where a site visit is a short drive rather than a scheduling exercise. Most issues are resolved remotely, and onsite support across our service area is included with AgileCOMPLETE.

Questions

IT questions from industrial businesses

Do you take on the cameras and the access control?

We do not replace your security contractor and we are not trying to. What we take on is the network those systems sit on and the way they are reached: putting them on their own segment, changing default credentials, closing direct exposure to the internet, and making contractor access something that is granted and recorded. If the recorder itself fails, that is still a call to the people who installed it, and we will make that call with you rather than hand it back.

We have one shared login in the workshop. Is that really a problem?

It is, for two reasons. The first is that any record created under a shared login identifies nobody, which matters the moment a job, a check or an incident needs to be attributed. The second is that a shared password is never changed when someone leaves, because changing it inconveniences everyone. Named accounts solve both, and on a workshop PC they can be made quick enough that nobody fights it.

Our second site has its own internet and its own gear. Can that be brought together?

Usually, and it is often the change that makes the most difference. One managed network across both sites means one set of security controls, one backup position, one support arrangement and no debate about which site a problem belongs to. We start by documenting what is actually at the second site, because that list is almost never complete to begin with.

Our staff use their own phones for job and timesheet apps. Should they?

It can work, as long as the company part is managed separately from the personal part, so company data can be removed when someone leaves without touching their photos. What does not work is the common arrangement, where company information sits in a personal account with no way to get it back. That is a problem on the day someone resigns, not before, which is why it stays unsolved for so long.

We are not a tech business. Do we really need all this?

You need as much of it as the business depends on, and usually that turns out to be more than expected once you list what stops if a system is unavailable for a week. We will tell you where you are already in reasonable shape, and we will tell you plainly if you do not need us yet. We work best with businesses of roughly 5 to 50 staff, and the point this becomes worth doing is normally when decisions start waiting because nobody owns them.
