Could the practice keep operating if you lost access tomorrow
Planning is a relationship business, which makes it a key-person business, which makes it fragile in ways the balance sheet does not show. These are the questions we ask in a first conversation, and the answers tell us more than any audit.
If an adviser were unreachable for a fortnight, could someone else serve their clients?
If the answer depends on that person's mailbox, laptop or memory, the practice has a continuity problem regardless of revenue. Client material belongs in a governed location that the practice controls, not in one person's working habits.
Could you assemble everything behind a 2021 piece of advice this afternoon?
The advice file has to be complete and findable years later. That is decided by how documents and mail are stored and retained, long before anybody asks for them.
Does anyone still have access who should not?
Practices use paraplanners, contractors and outsourced support, which is sensible. What is not sensible is access that outlives the engagement because removing it was nobody's job.
If a client's details were used to impersonate them, would you know?
A practice mailbox holds enough to be convincing. Controls on mailbox rules, forwarding and unusual sign-ins matter more here than in most businesses, as does verifying payment changes outside email.

IT questions from planning practices
Do you support our planning and modelling software?
We do not write your planning software and we are not pretending to be its consultant. What we take responsibility for is everything underneath it: devices, the Microsoft 365 tenancy, access control, connectivity, backup and the vendor relationships, so the software has a stable base to run on and somebody to call when something is wrong. When the issue sits with the software vendor, we deal with them rather than handing you back a ticket number.
How should we handle paraplanners and outsourced support?
With access that is deliberate and time-limited. Give them what the work requires, in a place the practice controls, and remove it when the engagement ends, with a record showing it happened. The common failure is not that outsourcing is risky, it is that access granted for one project quietly becomes permanent.
We already have an IT company. Why would we change?
Usually because nobody is managing the environment, only responding to it. The test we suggest is simple: ask your current provider when a restore was last tested, who has administrator access, and what is scheduled for replacement next quarter. If those answers are not readily available, the issue is ownership rather than effort.
How secure does a small planning practice actually need to be?
Secure enough that a client's financial position and identity documents are only reachable by people who need them, and that you could say so with confidence if a client or a licensee asked. In practice that means multi-factor authentication, role-based access, managed devices, tested backups and monitoring. Are we too small for this?
We work best with businesses of roughly 5 to 50 staff, and smaller teams growing into that range. If your practice is three people and everything is working, you probably do not need us yet, and we will say so. The point at which this becomes worthwhile is usually when technology decisions start waiting because nobody owns them.
