Managed IT for wineries

IT Support for Wineries and Cellar Doors on the Mornington Peninsula

A Peninsula winery is several businesses sharing one property and one internet connection: a vineyard, a winery, a cellar door, often a restaurant or an events space, and an online store with a wine club behind it. Each runs on different systems, most of them supplied by someone else, and all of them stop on the same day if the connection does.

The weekend is when it matters most, and the property is rarely built for technology. That is the problem we solve.

One property, four businesses

Most of your systems belong to someone else. The ground they stand on is ours.

The point-of-sale, the booking system, the online store and the winery software all come from vendors, and they stay with them. What every one of them depends on is the connection, the network across the property, the accounts people sign in with and Microsoft 365 behind the office. When something fails, we work with you and the vendor until it is running again, so the cellar door manager is not the one ringing three help desks on a Saturday.

Part of the business Its systems, and who supplies them Our part
Cellar door Point-of-sale and payment terminals, from their vendor and payment provider. The network and wi-fi they run on, and a backup connection so tastings and sales keep going when the main line drops.
Restaurant and events Bookings, ordering and event platforms, from their vendors. Coverage through the dining room and the function space, guest wi-fi kept apart from the business network, and secured sign-in for staff.
Online store and wine club The ecommerce and wine club platform, from its vendor. The domain, email that reaches members' inboxes rather than their spam, and the accounts that administer the store.
Vineyard and winery Winery and compliance software, from its vendor. The computer or server it runs on, backups that are tested, and a network that reaches the winery shed and the barrel hall.
The office Microsoft 365, accounts, files and the people who work in it. All of it, managed and secured.

The weekend test

A Saturday outage costs more than a Tuesday one

Many properties in the hinterland sit beyond the reach of fibre, on fixed wireless or satellite, and run every part of the business through one connection. We design for that: the best primary service the site can get, a backup over the mobile network that takes over automatically, and wi-fi links between buildings so the cellar door, the restaurant and the winery shed are on one managed network rather than three.

Connectivity is delivered through AgileCONNECT, so the internet service and the network behind it have one owner. When something drops, you call us, and we resolve it.

Vintage and summer

Staff who arrive for the season should leave with it

Vintage and the summer trade bring casual staff who need access within a day and should lose it the day they finish. Named accounts instead of a shared login, a simple joining and leaving process, and multi-factor sign-in for anyone who can see customer or member details keep the busy months from leaving a trail of open doors behind them.

Scope

What we take responsibility for

Agreed in writing on day one in a Responsibility and Accountability Matrix.

Connectivity

The primary service, the automatic backup and one point of accountability for both.

Network and wi-fi

Coverage designed for the whole property, guest and business traffic kept apart, and links between buildings.

Microsoft 365 and accounts

Email, files and sign-in for the office and the seasonal team, with access that ends when the season does.

Devices and backups

Office and winery computers managed and replaced on a plan, and backups tested by restoring from them.

Where we work

Based in Mornington, a short drive from Red Hill

Agile IT Solutions has been based in Mornington since 2007, and the Peninsula is home ground. The wineries around Red Hill and Main Ridge are a short drive from our office, which matters when a problem needs someone on the property rather than on the phone. Most issues are resolved remotely, and onsite support is included with AgileCOMPLETE.

Questions

IT questions from wineries and cellar doors

Our internet at the winery is poor. What can be done?

Usually a fair amount. We start with what the property can actually get, which in the hinterland may be fixed wireless or satellite rather than fibre, then add a backup over the mobile network that takes over automatically. Often the bigger gain is inside the property: a properly designed network so the connection you have reaches the places that need it.

Do you support our point-of-sale or cellar door system?

The system stays with its vendor, and we are not its consultant. We are responsible for the network and wi-fi it runs on, the backup connection and the accounts around it. When the fault sits in the system itself, we work with you and the vendor until it is running again, rather than leaving your staff to ring the vendor on a busy Saturday.

How do we keep taking payments when the internet drops?

Plan for it before it happens. A backup connection over the mobile network keeps the business network online when the main service fails, and some payment terminals can fall back to their own mobile connection. We design the failover for the network, and we check with your payment provider how your terminals behave so there are no surprises on the day.

Can we get wi-fi to the winery shed and the barrel hall?

Usually, yes. Buildings that are close together can be joined by cabling, and those further apart by a point-to-point wireless link between them. We survey the property first, because thick walls, tanks and barrels block signal in ways a plan does not show.

How should we handle accounts for vintage and seasonal staff?

Give each person their own account, created when they start and removed the day they finish, with multi-factor sign-in for anyone who can see customer or member details. Shared logins are quicker in the first week and the reason nobody can tell who did what by the end of the season.

How do we get started?

A discovery conversation, ideally on the property. We look at the connection, the network, the systems each part of the business runs on and who supplies them, then set out what a structured managed service would look like. No obligation and no quote pushed at you in the first meeting.

Your busiest day should not be the one your technology lets you down.

Start with a conversation, on the property if you like. We will look at the connection, the network and the systems behind every part of the business, and give you the number before you have to ask for it.
