What is an outsourced IT department?
You probably do not need a full-time IT manager, a cyber security specialist, a systems administrator, a Microsoft 365 expert and a vendor manager. You need the outcomes those roles provide. That is what an outsourced IT department delivers to 5 to 50 staff businesses across Melbourne, the south east and the Mornington Peninsula, from one accountable partner, for a fixed monthly fee.
Defined
An IT department, without employing one
An outsourced IT department is a managed arrangement where one provider takes responsibility for everything an internal IT department would own: supporting your people, securing the business, running the systems, managing the vendors, and planning the technology ahead of the business rather than behind it.
It goes by other names, a virtual IT manager, IT department as a service, complete IT management, but the test is the same: is somebody competent clearly responsible for your technology, security, risk and planning? If the honest answer is “sort of” or “whoever is free”, the role exists in your business, it is just unstaffed.
What it actually does
The six jobs of an IT department, outsourced
These are the functions a business would hire for. Within AgileMANAGED, each one has a named home.
Support your people
The helpdesk function: problems fixed fast, remotely and onsite across Melbourne and the south east, by a team your staff know by name. The activity everyone associates with IT, and deliberately only one sixth of the job.
Secure the business
Identity, email, endpoints, data and governance to the SMB1001-aligned baseline, through AgileSECURE. Security run as a function, not sold as a fright.
Run the systems
The operations function: Microsoft 365 administration, patching, backups tested by restoring, devices managed across their lifecycle, monitoring that sees faults before your staff do.
Manage the vendors
Internet, phones, printers, software suppliers and renewals handled on your behalf, so “the provider blames the other provider” stops being your problem to referee.
Plan ahead
The IT-manager function most small businesses have never had: a rolling twelve-month roadmap, budgeting, lifecycle planning and quarterly business reviews, through AgileSTRATEGY, our virtual CIO layer.
Prove what is working
Evidence is part of the job: reporting on what is working and what is not, a risk register with owners, and the documentation an insurer, auditor or buyer asks for. Our responsibility matrix puts this split in writing.
The honest comparison
Internal IT manager, or outsourced?
A full-time IT manager gives you one person’s skills, one person’s availability and one person’s leave calendar, at a full-time salary. For most businesses of 5 to 50 staff, that is more cost and less coverage than the problem requires. An outsourced IT department gives you a team: support, security, infrastructure and strategic skills that no single hire carries, with continuity when anyone is away.
The honest exceptions run both ways. A business deep in specialised systems, custom manufacturing software, complex line-of-business platforms, sometimes does need internal IT. And past 50 staff, a hybrid is common and healthy: an internal person who knows the business intimately, with an outsourced department behind them for platform management, security depth and escalation. We work in exactly that arrangement with larger clients through AgileCOMPLETE, and responsibilities are agreed in writing so nothing falls between the two.
What we would not recommend is the common middle: no internal IT, no managed arrangement, and technology decisions made by whoever is least busy. A growing firm in Carrum Downs or a 20-person Frankston practice runs on exactly the same systems as a corporate, it just cannot staff a department for them. That gap does not close itself.
The difference that matters
Technology management, not just IT support
IT support fixes the password, the printer and the Wi-Fi. Technology management makes those problems rarer: refresh planning, security reviews, Microsoft 365 governance, vendor management, and a roadmap somebody actually owns. Support is something we do. Taking responsibility for your technology is what you are actually buying, and it is the standard we ask you to hold us to: not how many tickets we close, but how few technology problems your business experiences.

Common questions
Outsourced IT department FAQs
What does an outsourced IT department actually do?
Everything an internal IT department would: day-to-day support for your people, security and compliance, management of Microsoft 365, devices, backups and vendors, technology planning and budgeting, and reporting that shows what is working and what is not. The difference is that one accountable partner provides it for a fixed monthly fee instead of a salary.
How much does an outsourced IT department cost?
Our pricing is published: AgileMANAGED starts at $85 per user per month ex GST for AgileCORE and $130 for AgileCOMPLETE, which includes onsite support, managed servers and quarterly business reviews. For most 5 to 50 staff businesses that is well under the cost of one full-time hire, and it buys a whole team rather than one person’s knowledge.
Do we need a full-time IT manager instead?
Usually not until well past 50 staff, and often not then. A full-time hire gives you one person’s skills, availability and leave calendar. An outsourced IT department gives you a team covering support, security, infrastructure and strategy, with continuity when any one person is away. The honest exception: businesses with specialised internal systems sometimes need both, and we work behind internal IT in exactly that arrangement.
What is the difference between IT support and technology management?
IT support fixes problems: the password reset, the printer, the Wi-Fi fault. Technology management makes those problems rarer: refresh planning, security reviews, Microsoft 365 governance, vendor management and a roadmap someone actually owns. Support reacts, management plans. A provider should not be measured by how many tickets it closes, but by how few technology problems your business experiences.
Can an outsourced IT department work alongside our internal IT person?
Yes, and above about 50 staff it is common. The internal person keeps the day-to-day closeness to the business; we provide the platform management, security, escalation depth and strategic layer behind them, typically through AgileCOMPLETE. Responsibilities are agreed in writing so nothing falls between the two.
